What's new in Accuro EMR?

It’s time again for another update to Accuro EMR!Read on for a description of the latest features and functions.You can always access release notes from the Help menu of Accuro.If you are unsure of how to Update Accuro, please contact QHR Client Services.

Highlights

IMMUNIZATIONS: De-activate Immunizations

For clinics that have a large list of immunizations, unused or old immunizations can now be deactivated. If a vaccine is set as de-active it is not removed from a patient’s chart, it restricts users from being able to administer the vaccine going forward. To deactivate a vaccine click Configuration > select Vaccines > select a vaccine and deselect the Active checkbox.

SCHEDULING: Cancelling Multiple Appointments

Multiple appointments can now be cancelled for a patient. This can be done in the patient appointment history by using Ctrl+click or Shift+click before right-clicking and selecting Cancel Appointment. To access patient appointment history press F4 to open the Quick Patient Appointment View.

SCHEDULING: Default Action for Recurring Appointment Conflicts

A new setting has been added for the default action when a user makes a recurring appointment and another appointment already exists in the appointment slot. The user can select Change Time, Double Book or Don’t Book to be the default action. To access this new setting click Scheduler > select Preferences > click the Priorities and Settings tab > the new setting is called “Default Action for Recurring Appointment Conflicts”.

SCHEDULING: Selecting Multiple Providers in the Scheduler

An update has been made so that users can now select more than one provider at a time when deciding what providers to view. Previously the user would right-click in the header and after selecting one provider the menu would close. The menu now remains open to allow the user to select/deselect more than one provider. To access the Scheduler select the Scheduler icon.

ALLERGIES

Allergy Search Results Ordering

An update has been made to move allergen groups to the top of the Allergy Search window when searching for allergies in the allergy medical history band. To access the Allergies band select the EMR icon > click the Encounter Notes tab > Allergies is located on the right-hand side of the window.

ALLERGIES

Authorized by Column in Allergy Table

The Authorized By column was causing some confusion in the Allergy table. As this column was originally added for users with the PIN module enabled it has been hidden for all other users.

Note: The PIN module is only available to clients in Alberta.

BILLING

Facility Selection in the Appointment Details Window (AB, NS)

The ability to select a facility for a bill has been added to the Appointment Details window for users in Nova Scotia. For users in Alberta the location of the Facility dropdown has changed to better utilize the space in the Appointment Details window. To access the Appointment Details window select the Scheduler icon > right click and select Create Appointment.

Making Backdated and Future Payments

If a user makes a backdated or future payment that is more than one year away from today’s date a warning message is now displayed. A warning message is also displayed if a user has the Billing Periods module enabled and the payment they are making is outside of the current billing period.

Note: In some provinces billing periods are only available to pilot sites.

Applying Payments

An update has been made so that when a user makes a payment through insurer payments or private billing Accuro now checks to ensure the claim has no protection lock on it (i.e. no one else has that claim open on a different computer). A Payment can only be made to the bill if it has no active locks on it. To access insurer payments click Reports > select Insurer Payments. To access private billing select the Patients icon > click the Private Billing tab.

Invoice Warning When Microsoft Word Not enabled

An update has been made in invoice generation so that if a form invoice is not found and the Word system is disabled, a message is displayed that says "There are no invoice templates associated with this provider. Please setup an invoice in the form editor." Accuro no longer attempts to launch a Microsoft Word invoice.

Auto Default Option for 'Referral Letter' by Office

A new Office Preference has been added under EMR called "Default Generated Letters as Referral Letters" (defaulted is off). When selected, by default the Referral Letter check box in the Generated Letter Recipients window is selected. A tooltip has been added to the Office Preference saying "When On, generated letters will all by default be treated as Referral Letters and tracked as one."

ENCOUNTER NOTES

Provider Type and Generate Date/Time Stamp (F12)

To help large sites identify the type of provider associated with clinical notes, the provider type can now be displayed in the clinical note label.

A system setting has been added called “Show Provider Type on Encounter Notes Label” that will add the Provider Type to the provider text in the clinical notes list of Encounter Notes tab in the EMR Section.

Note: This will not apply for any chart item in the list that came from Data Sharing because the Provider and Provider Type are those of the Primary Provider of the patient, not the provider who recorded the record in the other system.

The new F12 Alternate Credentials will now also be added to the Previous Versions history of Clinical Notes.

When the user of an edit in the previous versions history has an Alternate Signature, it is now included it in brackets after the username.

Note: This does not exclude or replace the username displayed in the version history as this is audit information.

ENCOUNTER NOTES

Timestamp Functionality (F12)

An update has been made to extend the functionality of the time stamp (F12). Previously the time stamp displayed the username, date and time. Some clinics have requested the ability to have user defined time stamps as it was sometimes difficult to identify who generated the time stamp. An alternate time stamp prefix display has been added as a user preference. When the field is empty the default time stamp is used. When the Alternate Time Stamp Prefix field is completed the alternate time stamp is used. The only information a user can change is what is displayed where the username is in the default time stamp, the date and time remain the same. To access the Alternate Time Stamp Prefix select File > User Preferences > Display > Display Tab

EXTERNAL COMMUNICATION

Welch Allyn Vitals Rounding

Following previous changes to the rounding of Welch Allyn vitals, some further enhancements have been made. For pediatric vitals the weight and height results have been changed from integers to numbers with one decimal place for height and weight. This change is seen when a user selects Physical History (Child) (Optimed) Lab Test to import the tests into Accuro. Ctrl+Alt+D allows a user to choose the physical history panel being used.

FAXING

Queuing Faxes in Manual Ace

If ACE is launched manually and the MS Fax Console is used, any fax sent while running ACE manually did not get an updated external fax status when ACE is run normally. To prevent this, a change has been made to not launch the Fax thread on ACE startup if ACE is running manually. A message has also been added to remind the user that the Faxing thread was not started. Upon launching ACE normally, faxing will resume.

Form Component Display Names

An update has been made to the default names displayed in the form editor. The default name is now “John Smith”. To access the form editor click Tools > select Form Editor.

Rheumatology Certification Checkbox Icons (ON)

Two new checkbox icon types have been created in the form editor (one is a diamond and the other is a circle). Both of these icons are available in all four sizes. To access the form editor click Tools > select Form Editor.

LABS

Lab Processing Notifications

With the addition of the minimum processing versions of labs, updates have been made to ensure that users are warned if labs have not been processed in the last two hours.

Medinet Labs (BC)

As of September 2013 all Medinet Labs now go through Excelleris Labs. For this reason the Medinet Labs software module is being retired.

MESSAGING/TASKS

Manage Tasks Dropdown

When a user selected Manage in the Task combo box, the Edit Task Reasons window was displayed. But the Task drop down was still the focus and the user had to click the Edit Task Reasons window so they could use the add/remove list. An update has been made so that once the Edit Task Reasons window is displayed it is selected and users can work in the window right away. To access tasks select the Home icon > open the tasks folder.

MESSAGING/TASKS

Review All, Tasks

The Review All button has been removed from Tasks because patient tasks should be reviewed individually and not all at the same time. To access Tasks select the Home icon > open the Tasks folder.

OTHER

About Accuro Window, Version

An update has been made to the select iteration window to correct two typographical errors. To access the select iteration window click Help > select About Accuro > click Version.

Locking Appointment Cancellation Reasons

A new feature permission called “Manage Cancellation Reasons in Appointments” has been added. By default all users can manage cancellation reasons. If a user is not given permission to manage cancellation reasons then they will no longer be able to add new appointment reasons in the Scheduler. To access this new feature permission click Users > select Manage Security > click Feature Access > Manage Appointment Cancellation Reasons is listed under Scheduling.

Copying a User

When a user is copied, their demographic fields are now cleared (previously the demographic information was being copied over). To copy a user click Users > select Manage Security > click Users.

Protection Locks for Lab Processing

An update has been made to the way that locks expire for lab processing to ensure that they function as expected. This has no effect on any locks that users may have put on claims, letters etc.

Submitting Log from the Kiosk

Users can now submit logs from the Kiosk. To submit a log press Ctrl+Shift+L.

Wording in User Preferences and Manage Security

An update has been made to the wording used in user preferences and manage security to ensure consistence and also to follow the user interface standards. To access user preferences click File > select User Preferences. To access manage security click Users > select Manage Security.

PRESCRIPTIONS

Drug Interaction Warning Re-Worded

For clarification, the wording for a drug interaction has been updated from Drug Allergy to Drug Intolerance when the patient has an Intolerance. This has been updated in both the Add Prescription window and also the Screening Profile window. To add an intolerance to a patient’s EMR, select the EMR icon > click the Encounter Notes tab > click Add in the Allergies Medical History Band.

PRINTING

Printing, Citrix Users

An update has been made to change the default selected printer from the first in the list (when there is no default printer information available) to using the last printer used during the Accuro session as the default printer.

REPORTING

Find Orders in Outstanding Requisitions, Referrals, and Orders

A “Find Orders” button has been added to Outstanding Requisitions, Referrals, and Orders. When opening the Outstanding Requisitions, Referrals, and Orders window orders do not automatically load. Users now select the filters prior to having the orders listed (similar to how it is already done in the Claims, Accounts Receivable by Insurer). To access Outstanding Requisitions, Referrals, and Orders click Reports > select Outstanding Requisitions, Referrals, and Orders.

Note: This change only affects Outstanding Requisitions, Referrals, and Orders when opened from the menu at the top of the Accuro window, not when accessed via the Patient Orders tab in Appointment History (F4).

Running Queries on Deceased Patients

An update has been made that means users can now run a query on deceased patients in Alerts (Query Builder). In the New Rule section select the category of demographics and deceased is now in the list displayed. To access Alerts (Query Builder) click Reports > select Alerts (Query Builder).

SCHEDULING

Patient Status in the Scheduler

If a user Arrived a patient in the scheduler (in error) and then wanted to change it to No Show, they used to have to deselect Arrived and then select No Show. An update has been made so the user can now just click No Show and they are asked if they want to clear the Arrived status. To No Show a patient select the Scheduler icon > right-click on an appointment and select No Show.

SCHEDULING

Scheduler Template & Suggestions Window

An update has been made in templates and suggestions so that the template name is used. The Suggestions list in the Manage Templates tab is now a table with two columns. The first column is the suggestion name and the second column is the preview.

In the Ad-Hoc Suggestion Availability tab, the suggestion column now shows the suggestion name alongside the preview. The order of the table is by suggestion name. To access Templates & Suggestions click Scheduler > select Templates & Suggestions.

VIRTUAL CHART

Configuring Date Fields in the Virtual Chart

Clinics can now configure Lab and Generated Letter date fields in the virtual chart. This enables each individual clinic to decide which specific date they would like to see displayed in each column. For the Lab Date and Lab Created date there is a choice of: Collection Date, Observation Date and Received Date. For the Generated Letter Date field there is a choice of: Date of Service or Date Generated. To configure the Lab and Generated Letters click Users > select Manage Security > click System Settings > click the General tab > the new options are in the Virtual Chart section of EMR Settings.

WAITLIST

Expansion of Query Alerts for the New Waitlist

1.Create query alerts constrained by "Decision Date".

2.The following fields have been added to Wait List query alerts:

4.The waiting status filter has now been removed as it is no longer applicable.

Wait List Auto Complete Consult

When the Waitlist was updated to accommodate Consult and Surgical requests, the Auto Complete feature only worked for Surgical requests, not Consult requests. The Auto Complete feature has been updated to allow users to auto complete Consult requests as well as Surgical requests.

The Auto Complete feature will set the Consult Status to Complete for all requests that have a Consult Status of Booked and have the First Consult date set to a date earlier than the current date.

WAITLIST

Waitlist Permissions

An update has been made to add permissions to the waitlist (previously all users had access to all records in the waitlist), Scheduling permissions are now being applied. The permissions will not be applied in the "Edit View" window, however if they user hovers over the "i" icon a tool tip displays. This will only affect Waitlist providers which are linked with an Office Provider.

Waitlist Procedure Note on the Quick Patient Appointment View Window (F4)

When a procedure note is added on a waitlist request it will now be displayed in the Quick Patient Appointment View Window (F4).

Maintenance and Issue Fixes

FIXED ISSUES

Account Locking After Entering Invalid Passwords

The account lockout limit was not functioning correctly. The account was not being locked after a user had reached the specified number of password attempts. An update has been made to ensure that after the specified number of attempts, a user’s Accuro account is locked. For lock out settings click Users > select Manage Security > click System Settings > click the Login tab.

Accuro Mobile for Non-Provider User Roles

If a user logged into Accuro Mobile and they didn’t have Provider Permissions in the EMR, the Scheduler and the EMR sections were not working correctly. As well, a note could not be saved in the Physician Calendar. An update has been made to ensure that Accuro Mobile no longer crashes and the user with non-provider permissions now has access to the same areas of Accuro Mobile as they have in their main Accuro system.

Add Patient Flag Window

An update has been made to the update patient flag window to correct a spelling mistake. To add a patient flag press F7 (Patient Tasks) > click the New link next to the Patient Flags header.

BA# in Claim Details Window (AB)

An update has been made to the BA# field to ensures that users cannot enter a number longer than the database can accommodate as this could cause an error to occur.

Cancelling Sent to Fax Item

When a user cancelled a “Sent to External Fax” document using the fax manager window the status was being updated in the Fax Manager. Where ACE was being used, this action was also generating an error message every 10 seconds. An update has been made to ensure that the status is updated correctly and no error messages are generated. To access the fax manager click the Faxes link at the bottom-left of the Accuro window.

CDM Worksheets

CDM worksheets were showing up as overdue, when they weren’t. This was because the due date was being incorrectly checked against the current date. An update has been made to ensure that overdue items are.

Inserting Historical Lab Entries, SLRR Labs (SK)

An update has been made so that if a SLRR lab/document is received and there is a newer version in the patient’s EMR, the newly received item is now inserted into the patient’s lab/document history. Previously it was ignored so as to not overwrite the more recent information. The lab/document entered into the patient’s lab/document history is not marked as reviewed and will not be seen unless a user specifically goes into the history.

Erroneous Conflict Message When Importing Waitlist Provider

When attempting to add a provider to the Waitlist Provider list (using the Import functionality) if the user had previously been added and removed then a conflict message was being displayed. An update has been made and this issue is now fixed. To add a provider to the waitlist select the Waitlist icon > click Tools (in the waitlist window)> select Provider Management.

Add a New External Medication

The Add as External Medication window did not comply with GUI standards. An update has been made to ensure that the window conforms with these standards. These changes include changing the button names to OK and Cancel (previously they were Save and Cancel) updating the spacing between items and ensuring the window will scale correctly if a medication has a long name. To access the Add as External Medication window select the EMR icon > click the Medications tab > click New External Medication.

History of Problems in Encounter Notes

This history of problems on the right-hand side of the encounter notes tab was not displaying in reverse chronological order (i.e. the most recent first). An update has been made to ensure all items are displayed in reverse chronological order. To access encounter notes select the EMR icon > click the Encounter Notes tab.

HRM Error Message (ON)

An update has been made to correct a grammatical error in an HRM error message.

Viewing Encounter Notes at a Later Time

A client reported that after creating an encounter note, they were unable to view them at a later time. An investigation found that this was caused by the permissions and checks not functioning as expected. An update has been made to ensure that the list of appointments in the combo boxes only contain appointments that the provider has the permissions to access (to prevent the scenario from happening again). To access encounter notes select the EMR icon > click the Encounter Notes tab.

Lab Printing from the Virtual Chart

Margins have been increased for Lab printing from the virtual chart for consistency with Lab printing from other locations. To access the Virtual Chart select the EMR icon > click the Virtual Chart tab.

Lab Recipients

When a lab matches to 'Unassigned' as well as to a provider, we remove the 'Unassigned' recipient (from the list of recipients) so the lab should only appear in the provider's inbox. However in very specific cases the Unassigned recipient was left while the provider recipient was removed, which is not desired behavior. A change has been made to prevent the valid recipient from being removed from the recipient list.

Checking Private Payment Dates

An error was occurring when a user was checking private payment dates with billing periods enabled and there were no existing billing periods. An update has been made and this is now fixed. To access private payments select the Patients icon > click the Private Billing tab.

Note: In some provinces billing periods are only available to pilot sites.

Lab Name, CML Labs (ON)

CML labs is sending a 4 digit Lab Results ID with the Lab Name. These are not to be displayed and are only in for processing at this time. An update has been made to ensure that the Lab Results ID is not displayed in the lab result.

Patient Search

An update has been made to patient searches in Tools > Family Link and File > Export > ToPD/CoPD. There is no visible change for users, it is a change to the software behind the scenes. A spelling mistake was also corrected in the ToPD/CoPD window.

CDM QIP Providers (SK)

The QIP CDM Worksheet Activity window was displaying providers in the dropdown who were not taking part in the program. An update has been made to ensure that only providers included in the QIP CDM are visible in the provider dropdown.

Manage Resources

Manage Resources in the scheduler was incorrectly displayed as Manage Rooms. An update has been made to fix this issue. To access Manage Resources click Scheduler > select Manage Resources.

Template Suggestion Name and Label

A field limit of 50 characters has been added to the template name and label fields.

System Updating Database Message

A client reported they were unable to access Accuro and a system updating database message was displayed. An investigation found that this was due to a flag being incorrectly set. An update has been made and this issue is now fixed.
