Release Notes For 2012.08

Accuro©EMR is the most recent version of Accuro available. The reason for no version number is because Optimed is going to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

Billing

Accounts Receivable System Setting

A new system setting “Only Include Submitted, Invoiced or Paid in Accounts Receivable” has been added (default is off). When selected this system setting ensures that bills that have not been submitted, invoiced or have at least one payment on them are not included in the accounts receivable reports, A/R by Insurer or other places Accounts Receivable is shown in Accuro. To access the “Only Include Submitted” checkbox click Users > select Manage Security > select System Settings. Reports can be accessed from anywhere in Accuro by pressing Ctrl+R.

Adding an Expired Facility to a Provider (AB)

The ability to search on an expired facility has been added (when the Show Expired Facilities checkbox is selected). This is because some sites require expired facilities for things such as back dating claims. To access the Show Expired Facilities checkbox press F2 > click the Configure button > click Next twice to access Billing Facilities (step 3) > click the Ellipses button (three dots on it) to the right of Facility.

Billing Controls

Changes that users are allowed to make to bills have caused some accounting issues when trying to balance against reports. Billing controls have been introduced to prevent inappropriate editing of bills by introducing tighter financial controls and avoiding any potential for missing revenue.

The areas of Accuro that have been affected by the billing controls are claims, appointment history (F4), A/R by Insurer, Claim Details, Scheduler, EMR Day Sheet, Appointment Details and Private Payments.

The new billing controls will help ensure that the financial data contained in the reports remains accurate and unintentional errors will no longer be allowed to occur. This will give the Billing Reports greater reliability and save time for clinic billing staff in tracking down and correcting A/R issues.

With this update there are no immediately visible changes to Accuro. The changes become visible once users with billing permissions try to perform actions on a claim and they cannot due to the new billing controls

Each action that can be performed on a bill is listed below along with actions that can and cannot then be subsequently done to the same bill. If a user tries to perform an action that is not permitted then a warning message is displayed outlining why this action cannot be performed. In some cases actions that are not permitted are grayed out.

Managing Procedure Categories (BC)

The Manage Procedure Code Categories menu item has been superseded by the Procedure Category Manager menu item because it is much more comprehensive for users (both were listed on the same menu and provided the same options). To access the procedure category manager click Billing > select Procedure Category Manager

Multiple Claims Creation (ON)

Users can now create a claim for a single patient across multiple dates of service within claim details. When editing a new claim, to the right of the DOS in Claim Details there is a calendar button.  When clicked, the button opens a new window where users can add and remove extra dates.  When the claim is saved a copy of the claim is made for each DOS. To access claim details select the Claims icon > click the Daily Claims tab > right-click and select Claim Details.

Once Per Calendar Year Billing Rule

A new billing rule once per calendar year has been added. This is different from the billed in the last year rule because if used there must be one calendar year between the last date billed and the current bill. To access billing rules click Billing > select Billing Rules.

Premium Procedure Codes Percentage Paid (SK)

Premium procedure codes 897A and 899A have been updated to 50% and 100% respectively.

Updating Claims and Claim Details

An update has been made that prevents a user from editing or saving a claim while another user already had the claim details open. To access claim details select the Claims icon > select the appropriate tab > right-click on a claim and select Claim Details.


Encounter Notes

Immunization Summary Added to Copyable History

The immunization summary has been added to the copyable history display in encounter notes. To access the copyable history select the EMR icon > click the Encounter Notes tab > click the Copyable History button (two sheets of paper, at the top-right of the window).

Immunization Summary in Copyable Medical History

If the immunization summary is disabled in system settings it is no longer displayed in the copyable medical history. To access the copyable medical history select the EMR icon > click the Encounter Notes tab > click the Copyable Medical History button (two sheets of paper).

Manage Medical History Items

Manage medical history items has been updated so that when the feature access has been disabled users cannot access the manage option under class and details.

Mass Patient EMR Archiving

A new admin option has been added called “Mass Patient EMR Archive”. This has two tabs: Patient and Options. The options for archiving: all patients, by office provider or by cohort. Once a user selects the Archive button a list of patient ids to be processed is displayed, the number of patients that are being archived and a confirmation message is displayed prior to archiving. To access mass patient archiving click Tools > select Admin Tools > click Mass Patient EMR Archive.

Tags in Template Wizards

A scroll bar has been added for users with large numbers of component tags in their forms. This allows users to scroll up and down to view all of their tags. To access the template wizard click Tools > select Template Wizard.


External Communication

Update List Window

The update list window has been updated to include new features. If a user is leaving Accuro and updates are still running in the background, a warning message is now displayed. When switching between users and offices, if the update was running in for the previous office/user it now continues to show the update progress for the new office/user. The update list now has three states:

Updates are available but not currently running.

Updates are currently running.

Updates have finished running.


Faxing

Office, Fax Manager

The column Office has been added to the fax manager table (default is hidden). The purpose of this column is for clients with more than one office, it enables them to see which office sent the fax to the fax manager. To access the fax manager click the Faxes link in the bottom-left of the Accuro window.


Forms

Form Editor

The “Components” area of the form editor has been renamed "Saved Components”. To access the form editor click Tools > select Form Editor.

Form Under Construction

A checkbox has been added to the form editor (next to the category dropdown) called Under Construction. When the under construction checkbox is selected the form is not available for selection in encounter notes. The form only becomes available once the Under Construction checkbox is deselected.  Like other changes to forms, the form must be saved when Under Construction is turned on or off to go into effect. To access the form editor click Tools > select Form Editor.


Labs

CC Providers, SLRR Labs (SK)

An update has been made to correct an intermittent issue where CC Providers display as “1” in RQHR Messages (in Accuro).

Lab Error Handling

To enable users to identify quickly and easily when labs are not being received a log now records the date and time of the last attempted download of labs and whether the downloads are successful or not. This information can be viewed in the home area of Accuro by pressing the information button. The lab log can be configured to warn if no lab retrievals are made in a defined timescale (default 3 days). To access the lab log information select the Home icon > open the Labs folder > click the Information button (with an “i” on it). To configure the warning if no retrievals attempted click the Configuration button in the information window.

Manual Lab Entry in Encounter Notes

When adding a second or subsequent manual lab entry in encounter notes the contact patient flag is now set to off. To manually add a lab entry select the EMR icon > click the Encounter Notes tab > click the “+” button in the labs section.

Reported by in RQHR, SLRR Labs (SK)

The reported by field no longer contains the order number as this is a separate field.

Test Name, SLRR Labs (SK)

Test names containing the characters “<” or “>” now display correctly.


Medical History

Vaccine Deletion

Vaccines can no longer be deleted from the list while they still exist as an immunization on a vaccine. To access vaccine configuration click Configuration > select Vaccines.


Messaging/Tasks

Referrals and Orders

In the tasks window (F7) the “Requisitions Outstanding” header has been renamed “Outstanding requisitions, Referrals and Orders”. Generic orders and referral orders that are listed on the Outstanding Requisitions, Referrals and Orders window are now also listed here. A new tracking header “Referrals and Options” has been added to the Encounter Notes. To access the tasks window press F7.

Undo Completed Tasks

If a task is mark complete in error users can now undo the completed action. To undo a completed task select the Home icon > open the Completed folder > right-click on the task and select Uncomplete” > when prompted click Yes.


Other

Validate License Frequency

The license validation now locally stores a copy of the license that is valid for that calendar day.  Each new calendar day the validation gets a new copy of the license. License information including expiry and downloading can be accessed by clicking Help > select About Accuro > click the License tab.


Patient Demographics

Changes in Patient Demographics

When patient demographics are changed the following information is now displayed on a Last Updated band: date/time last updated, user who made the change and office. To access patient demographics select the Patients icon.

Deceased Status

A system setting has been added called “Status for Deceased Patients” This is a dropdown that gives the options of whatever is configured at the clinic. To access the status for deceased patients dropdown click Users > select Manage Security > click System Settings.


Reporting

Billing Period Report Header (MB)

An option “Include Selected Providers in Report Header” has been added (default is on). This option adds the providers names to the header of the billing period reports. To access reports press Ctrl+R from anywhere in Accuro. To access manage billing periods click > Billing > select Billing Periods > click the Options tab.

Billing Period Reports (MB)

All billing period reports now have “For Period Ending <date>” in the report header. To access reports from anywhere in Accuro press Ctrl+R.

Custom Reports, Cloudwerx (BC)

An update has been made so that Cloudwerx users can generate custom reports. To access reports from anywhere in Accuro press Ctrl+R.


Scheduling

Appointment History Table

The appointment history table has been updated to include Appt Type and Appt Reason. To view the appointment history press F4 (Quick Patient Appointment View) > click the Appointment History tab.

Appointment Referring Physician Popup

A new “Prompt to assign appointment referring provider as patient default” system setting has been added (default is on). When selected the user is prompted user to set the appointment referring provider as the patient default when the Referring Provider field is changed.

Making Past Appointments

If a user makes an appointment for a date before the current date then a warning message is now displayed asking if they want to continue. To make an appointment click the Scheduler icon.


Security

Bulk Provider Permissions

A new feature called bulk provider permissions has been added (under Users on the Menu bar). The aim of this feature is to make adding new users easier for larger sites with more than one clinic. By going to the bulk provider permissions and selecting a provider, users can be assigned to the provider and the provider’s offices specified.

Add Permissions via Bulk Manage Permissions

Click Users on the Menu bar.

Select Bulk Provider Permissions. The bulk manage permissions window is displayed.

Type in the name of the provider and select from the list displayed.    

Click the down-arrow to the right of User and select the user being assigned to the provider. If one has already been assigned, it will be selected automatically.

Click the down-arrow to the right of Provider Offices and select the office(s) being assigned to the provider.

In the lower part of the Bulk Manage Permissions window click to select the permissions for the user being assigned to the provider. One click under a heading displays a green tick indicating the user has permissions for the selected provider in those areas of Accuro. To remove the permissions, click again and the tick disappears.

Click to select the permissions for the provider in the selected office(s). One click under a heading displays a green tick indicating the user has permissions for the selected provider in those areas of Accuro. To remove the permissions, click again and the tick disappears.

Click to select the permissions for the provider for the office(s) not selected. One click under a heading displays a green tick indicating the user has permissions for the selected provider in those areas of Accuro. To remove the permissions, click again and the tick disappears.

If any of the settings are temporary click the calendar icon under the Access Until column and select a date when the permissions expire.

Click OK to save any changes.

Delete Patients

Click the down-arrow to the right of User and select the user being assigned to the provider. If one has already been assigned, it will be selected automatically.


Virtual Chart

Ad-Hoc Adding Documents to the Virtual Chart

Documents can now be added directly to a patient’s virtual chart without having to go through the documents section of Accuro. This can be done by selecting a file, dragging and dropping or copying and pasting into the virtual chart. Users can select one file or multiple files to be uploaded.

Add a File to the Virtual Chart Using the Add Button

Select the EMR icon.

Click the Virtual Chart tab.

Click the Add button (with a “+” on it). The Upload Documents window is displayed.

Click the Add button (with a “+” on it). The File Chooser window is displayed.

Browse to the location of the file being uploaded, select the file and click Open. Multiple files can be selected using Shift+click or Ctrl+click.

In the Details section add as many or as few details as are required.

Select the provider reviewing the document.

Click OK to upload the file.

Add a File to the Virtual Chart Using Drag and Drop

Select the EMR icon.

Click the Virtual Chart tab.

Click the Add button (with a “+” on it). The Upload Documents window is displayed.

Drag and Drop the file from your computer into the Documents to Upload section. Multiple files can be selected using Shift+click or Ctrl+click.

In the Details section add as many or as few details as are required.

Select the provider reviewing the document.

Click OK to upload the file.

Add a File to the Virtual Chart Using Copy and Paste

Copy the image or text being added to the patient’s virtual chart into the clipboard.

Select the EMR icon.

Click the Virtual Chart tab.

Click the Add button (with a “+” on it). The Upload Documents window is displayed.

Put the mouse into the Documents to Upload Section and press Ctrl+V (the shortcut to paste). The item is added to the documents waiting to be uploaded.

In the Details section add as many or as few details as are required.

Select the provider reviewing the document.

Click OK to upload the file.


Waitlist

Book From Waitlist Menu Option

A new right-click menu option has been added to the waitlist. When selected “Book from Waitlist” ensure the selected waitlist patient is selected as the global patient, opens up the main scheduler window in Accuro. To access the waitlist select the Waitlist icon.

Waitlist Site Filter

The option of None has been added to the Waitlist site filter. To access the Waitlist click the Waitlist icon on the left-hand side of the Accuro window


Performance

Appointment and Claim Patient Loading

An update has been made to patient information loading for both claims and appointments. Previously all patient information was loaded even if it was not required (in some cases this took a while to load). Following the update the basic patient information is loaded and the remainder is loaded as and when the user selects an item.


Fixed Issues

Copying and Pasting in an Encounter Note

An update has been made so that when text is copied from the middle of a sentence or paragraph and pasted in another area the encounter note only the text is copied and not any formatting (e.g. bullets, numbers etc.). To access encounter notes select the EMR icon > click the Encounter Notes tab.

Custom Bands in Template Wizard

An update has been made so that custom bands now display correctly on the right-click menu in the template wizard. To access the template wizard click Tools > select Template Wizard.

Custom Histories

An update has been made so that custom histories that are enabled in one office cannot be seen by another office. To access custom histories click Users > select Manage Security > click the System Settings tab > click the Configure Histories button.

Default Referring Physician

If users do not have permissions to add a referring physician they are no longer asked if they to save this physician as the default referring physician when booking an appointment. To book an appointment select the Scheduler icon > select an appointment slot > press Enter.

Modifying Archived Bills

An update has been made so that when users modify an archived bill the warning message is displayed only once.

Numbered Text Being Centered

An update has been made because in an encounter note a numbered list following centered text was being centered even if left alignment was selected. The text now left aligns as expected. To create an encounter note select the EMR icon > click the Encounter Notes tab > click the down-arrow in the Clinical Notes section.

Patient Alternative ID Type

To prevent issues with ID type matching users are no longer able to add two alternative ID types with the same description. To add an alternative ID type select the Patients icon > click the Demographics tab > click the down-arrow to the right of Type > select Manage.

Processing Retrieval File (ON)

Improvements have been made to processing the retrieval file to improve speed and performance.

Tasks Assigned to Roles

An update has been made so that tasks sent to a role are only viewed by users who have that role and work in the office where the task was created. To access tasks select the Home icon > double-click the Tasks folder.

Update List Window

An update has been made to the Update List window (when a user first logs into Accuro) to improve the consistency of the progress bar and ensure that completed items cannot be reselected for updating.

A change has been made to the update list window because if a user ran updates and then clicked the “Update Selected” button with nothing selected, the icon was set to completed (even if the earlier updates were still running), this meant that no warning about running updates was displayed when closing Accuro.

When updates are being run and a user accesses any windows where information is required from the same area as where the updates are running, the window is not refreshed until after the update has finished.

Windows Journal Viewer 6.1 Files

An update has been made so that Windows Journal Viewer 6.1 files can now be opened from Accuro. To upload documents select the Documents icon > click the Directory button and browse to document location > click Open.
