Release Notes For 2012.06

Accuro©EMR is the most recent version of Accuro available. The reason for no version number is because Optimed is going to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

Billing

Explanatory Codes Updates (AB)

The billing schedule import now only clears and re-adds H-Link explanatory codes, WCB codes are no longer affected.

H-Link Batch Numbers (AB)

H-Link batch number now increment every time a submission is attempted, whether the submission is successful or not.

Print Remittance Messages (ON)

Users are now able to print remittance messages from the remittance window rather than having to copy and paste the text into another document

WCB Submissions (AB)

An update has been made to include a warning to alert users if they have an attachment as well as a submission note on a WCB claim as WCB does not accept both. To access the WCB form select the Claims icon > click the Unsubmitted Claims tab > right-click on the bill and select Claim Details > Click the Paper button in the Main Details section to the right of Insurer.


Documents

Document Types

Document types that are no longer used are not now displayed in the document types list. To access document types. Document types can be found by selecting the Documents icon click the down–arrow to the right of “Documents” (below the birthdate field).


Encounter Notes

Applying Changes Made in Generate Letters

The Save button located at the bottom of the window has been changed to say Apply. When clicked the apply button applies any changes made by the user to the body of the letter to the clinical note that the letter was generated from.  To generate a letter select the EMR icon > click the Encounter Notes tab > right-click on the appropriate entry and select Generate Letter.

Chart Loading Progress Information

A window displaying the loading progress of Clinical Notes, Forms, Labs, Medical History, Prescriptions and Allergies and Immunizations has been added to Accuro. When the loading of the patient’s details is complete, the window displaying the information is closed. This information is displayed every time a patient is loaded in the EMR with the exception of the day sheet or the quick Patient Summary (F3) areas.

No Show Appointments in Appointment History

A new system setting “Show No Show Appointments” (default is true) has been added. When this setting is changed to false no show appointments are no longer displayed in the appointment history in Encounter notes. To access system settings click Users > select Manage Security > click the System Settings tab.

Right-clicking in EMR

It was found in some very specific workflows that right-clicking in cells was not selecting the cell as expected. An update has been made so that right-clicking in any cell selects the underlying cell.

Sending Letter from Encounter Notes

When trying to send a letter from encounter notes that does not include a recipient (and one is not available by default) the letter now automatically opens in letter generation for the user to add a recipient. To send a letter from encounter notes select the EMR icon > click the Encounter Notes tab > right-click on an entry and select Send Letter.


Export

Form CSV Export Additions

The options available in a CSV form export are being increased to include the option to export checkboxes and radio buttons, the option to have User Name Tag instead of Name, to include the Patient ID and to include Form IDs.


External Communication

Configurable Nightly Restarts for ACE

An update has been made to ACE to allow nightly restarts. Previously ACE would only reboot if the Web Accuro updater was setup (the restart time is configurable using preferences).


Faxing

Fax Manager Enhancements

The Fax Manager window has been enhanced as follows:

  1. Faxes can now be sorted by selecting the appropriate column header.
  2. Users can now use the shortcut Ctrl+F to find something in the fax queue.
  3. Users can now customize the display by hiding/showing columns. This can be done by clicking the Column Display button located directly above the scroll bar.
  4. The last two weeks of faxes are now displayed by default. Users can view faxes of a different age by selecting the appropriate option from the Sent Faxes Age drop-down. If this option is changed then Accuro remembers the selection for next time the Fax Manager is opened.
  5. The Hide Cleared checkbox was removed as it had no function.

To access the Fax Manager click Faxes located in the bottom-left of the Accuro window.


Labs

Documentation Fee, CML Labs (ON)

A filter has been added to the CML group to allow users to filter out any lab results called Documentation fee. To access labs select the Home icon > double-click the Labs Folder.

Lab Processing Audit Logs

An update has been made to the audit log for lab processing. The username now shows as Accuro because the lab files are automatically uploaded. Previously it was showing as the username of the person logged into the computer.

Lab Summary Text Filter

A new system setting called “Filter Text Labs Longer Than <number> in Encounter Notes” (default is not selected). When selected any labs in the labs section at the bottom of the encounter notes tab that have text longer than the specified number of characters (up to 99 characters can be selected, the default is 10) are not displayed. To access this system setting click Users > select Manage Security > click the System Settings tab.

Lab Viewer Updates

An Options button has been added to the bottom of the lab viewer containing two checkboxes “Show User Notes” and “Show Lab Test Headers” (both default to selected). When the Show User Notes checkbox is not selected user notes are not displayed in the lab viewer. When Show Lab Test Headers is not selected then lab test headers are not displayed in the lab viewer. The patient demographics have also been updated to make better use of the space available. To view a lab in lab viewer in the EMR select the EMR icon > click the Virtual Chart tab > open the Labs folder (left-hand side) > double click on the lab. To view a lab in lab viewer in the Home section select the Home icon > Open the Lab folder > select the appropriate folder > double click on the lab to open in lab viewer.

Unassigned Labs Inbox

When viewing a lab result in the unassigned area of the inbox the “Forward” option is no longer available. To access the unassigned folder select the Home icon > double-click the Labs folder > double-click the Unassigned folder.

Update to Labs in Encounter Notes, Query Alerts and Lab Viewer

The following updates have been made to improve the consistency of the lab information displayed in Accuro


Medical History

Disabled Medical History Types

If users have disabled medical history types within system settings, the disabled types are now no longer displayed in the copyable medical history, macros in templates, the medical history area (at the bottom of the clinical notes section) and in generate letters (the medical history popup). To disable medical history types click Users > select Manage Security > click the System Settings tab > click the Configure Histories button.


Messaging/Tasks

Alerts for Urgent Tasks Assigned to User Roles

A new system setting “Show Alerts for Tasks Assigned to User Roles” has been added (default to true). When enabled a pop-up is displayed urgent tasks that are assigned to a user’s role. The system setting can be found by clicking Users > select Manage Security > click the System Settings tab.

New Buttons in the Home Area

In the Home area of Accuro the “New” button that opened up a new message has been replaced by two buttons, New Message (with an envelope on it) and New Task (with a clipboard and a tick on it). These buttons can be found in left of the navigation area.


Other

Sending Feedback to Optimed

When sending feedback to Optimed all fields in performance and printing feedback are now mandatory except for the additional comments box. This update is to try and help us pinpoint the cause of the problem so that you can be helped faster. To send feedback click help > select send Feedback.

Typographical Correction

An update has been made to correct the spelling of the word occurred.

View Log File

Log files can now be viewed in Accuro from the menu options by system administrators. To view a log file click Help > select View Log File.


Patient Demographics

Check for Other Patients When Changing Address

A new system preference “Check for Other patients When Changing Address” has been added. When this preference is not selected and a patient’s address is updated, users are not notified of other patients at the same address. The default for this setting is selected. To access the “Check for Other Patients When Changing Address” setting click Users > select Manage Security > click the System Settings tab.

Global Messages

When a user updates a global message the username of the person making the change is now logged as well as the date and time of the change. To create or change a global message press F7 double click the text below the Global Message heading and type in the message (if there is no message double-click ”None”)

Print Patient Registration Button

An update has been made so that the print patient registration button is not displayed if the clinic does not have the Microsoft Word module enabled. The print patient registration button can be found by selecting the Patients icon > The print patient registration button is located at the bottom of the window (in the centre) with a printer on it.


Providers

Duplicate Providers Warning Message (AB)

An update has been made so that if a user tries to add a provider who is already in the system, a warning message is displayed. To add a provider click Users > select Manage Security > click the Offices tab > select the appropriate office > click the Add button in the Provider’s section.

Provider Management

An update has been made to provider management so that when the clear button is clicked the provider note is now also cleared. To access the provider management press F2.


Prescriptions

Copying Prescription Macros

An update has been made so that when a prescription macro is copied from one provider to another, the provider in the macro becomes the new provider the prescription has been copied to. To import a prescription macro select the EMR icon > click the Encounter Notes tab > click the gold star to the right of the Active Medications ribbon > click the Import button in the Favorite Prescriptions window.

Prescription Text Change

The text on prescriptions has been changed from “Refill QTY” to “Qty per Refill”. This was requested to make the prescription less confusing for pharmacies.


Reporting

Downloading Custom Reports

Custom reports used to download when users first started Accuro. As most users do not have custom reports to download, this was delaying the start-up process. An update has been made so that custom reports are now downloaded in the background after Accuro has started.

Selecting the Provider on Form Creation from Alerts (Query Builder)

When a user creates a form for patients that are displayed as results in the Alerts (Query Builder) window they can now select a provider that the forms are created under. The provider list contains all the providers that the user has full EMR permissions for as well as an option to select “Appointment Provider”. To access Alerts (Query Builder) click Reports > select Alerts (Query Builder).


Scheduling

Apply Schedule Templates to Multiple Providers

Schedule Templates can now be applied to multiple providers at the same time. When multiple providers are selected, the Existing/Applied template functionality on the Single Day tab of the Schedule Templates is unavailable because it requires a specific provider's schedule. To access Schedule Templates select the Scheduler icon > click the Calendar button at the bottom of the window > click the Schedule Templates tab.

Appointment History in Quick Patient Appointment View Window (F4)

An update has been made to the Appointment History tab in the Quick patient Appointments View window (F4). Users can now slide the split-pane up and down and position as best suits their needs. Next time the appointment history tab is opened, Accuro remembers the slider location.

Inphonite Auto-Caller, Auto-Emailer and Auto-SMS System

Inphonite Auto-Caller, Auto-Emailer and Auto-SMS System An update has been made to the CSV export for the day sheet to include email as an exported field. This is a required field for the Inphonite auto-caller, auto-emailer and auto-sms system. To export the day sheet select the EMR icon > click the Day Sheet tab > select the appropriate date > press Ctrl+Printer button > click the Save button at the top of the preview window > type in a filename > click the down-arrow to the right of Files of Type and select CSV (*.csv) > click Save.


Security

Accuro Status

A System Information tab has been added to the Manage Security window. This tab displays the SQL server version, lists the size of the data and log files for each Accuro database and the pathname for each. To access the System Information tab click Users > select Manage Security > click the System Information tab.

Active Users

A new tab called Active Users has been added to the manage security area of Accuro. This tab lists any user who has used Accuro within the last two minutes. As well as the user, their IP address, computer name and last login time are also recorded. This tab will also identify when one user is logged into multiple computers. When users are viewing this table they can also click the Refresh button to update the information. To access the Active Users tab click Users > select Manage Security > click the Active Users tab.


Virtual Chart

Viewing PDFs

An update has been made so that PDFs viewed in the image viewer are no longer cut off. This was happening in some instances when documents had been rotated 180 degrees, documents had been zoomed (fit to width, 150% or 200%) and when image viewer resized a document to fit a 1920 x 1080 display.


Waitlist

Patient Cell Phone on Waitlist Request Form

Patient cell phone has been added to the new/edit waitlist request window. To access the new waitlist booking request window click the Waitlist icon > click the New Booking Request button.
