Release Notes For 2012.05

Accuro©EMR is the most recent version of Accuro available. The reason for no version number is because Optimed is going to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

IMPORTANT NOTICE:
The 2012.05 release of Accuro EMR can take longer than usual to launch Accuro after the first update. The first update can take between several minutes and an hour depending on how long your clinic has been using EMR and how many doctors are in your clinic. While Accuro applies change from the update, Accuro will be unavailable for other users.

Please consider this and wait to run the update to 2012.05 at a time of day when it will not impact the operations of your clinic. Be sure to launch Accuro after updating to apply the changes.

Billing

Archived Bills

If a user tries to edit a bill that has its appointment flagged as archived or the bill is marked as imported then a message is now displayed informing of the status of the bill.

Claim Query Form (MB)

The claim query form has been updated to use the patient's health card province instead of the province from the patient's address.

Cut-Off Dates (BC, MB)

The way cut-off dates are sent to Accuro has been changed. This means that cut-off dates can be updated without users having to update Accuro.

Provider / Clinic Revenue Split (MB)

Provider / clinic revenue split has been introduced this enables an overhead to be divided between a clinic and a provider. When setting up the clinic overhead the amount can be divided by a percentage or a fixed amount. The overhead can selected for a billing period or a billing period forward, it cannot be applied to billing periods that have already been closed. The clinic overhead splits are displayed on the Period Provider Billing Summary report.  To manage clinic overheads click Billing > select Manage Clinic Overheads.  Reports can be accessed by pressing Ctrl+R from anywhere in Accuro.


CDM Worksheet

Next Due Dates on Custom CDM Forms

An update has been made to custom CDM forms so that if a custom field contains a date field, it will use this to calculate the next due date or if there is no date in the form the date the form was created for the patient is used instead. To access CDM forms select the EMR tab > click the Encounter Notes tab > click the down-arrow in the Clinical Notes section.


Documents

Deleting and Rotating Pages in Documents

The documents section has been updated to allow users to split, rotate, re-order and delete pages in a document. The new functions are:

There is no functionality change to either reorder or split.

The split option in the right-click menu is now called Edit.

To access documents select the Documents icon, the Edit Document button is located at the bottom of the window.

Deleting Documents

An enhancement has been made to the documents section users now have the option to move documents to a Deleted folder rather than deleting documents completely. This means that if a document is deleted in error, provided the "Do not delete documents permanently. Move deleted documents into Deleted folder" checkbox is selected then the documents can be recovered. To select the "Do not delete documents permanently. Move deleted documents into Deleted folder" checkbox select the Documents Icon > click the Options button (to the right of the Batch Mode checkbox > select the "Do not delete documents permanently. Move deleted documents into Deleted folder" checkbox.

Note: This setting is user specific.

Document Comparison

The option of "Other" has been added to document comparison to allow for adding documents that are not in the default document types configured for a site. Document comparison can be accessed by selecting EMR > click the Encounter Notes tab > click the Documents button at the top of the Medical History section. Compare is the right-hand column of the list displayed.

Editing Documents in the Virtual Chart

Documents can now be edited in the virtual chart, this is a feature permission and the default is on. If clinics do not want to allow the editing of documents in the virtual chart then this feature can be disabled. When a user edits a document the edit document window is displayed.  Pages can be deleted or rotated by 0, 90, 180 or 270 degrees.  Note: Selecting Rotate 0 Degrees returns an image to the orientation it was when last saved. Rotate 0 Degrees returns a PDF to the orientation it was when it was first created (even if the document was rotated outside of Accuro).

Only items listed in the Documents section on the left-hand side of the virtual chart can be edited.

To enable / disable the editing of documents in the virtual chart click Users > select Manage Security > click the Feature Access tab.

Imported Document Received Date

A new user preference has been added "Default Received to Current Date", the default for this option is off. When selected the received date for any imported documents received defaults to today's date.


Encounter Notes

Auto Correct Spellings in Clinical Notes

Auto correct has been added to clinical notes. This come with many commonly miss-spelt words already included. Users can add any new words as they come across them. The list of words in auto correct is global for the clinic so all users have access to the same list. Users have the option of enabling or disabling the auto correct, if required. To access the auto correct list select the EMR icon > click the Encounter Notes tab > click the down-arrow in Clinical Notes and open a note > Click Options (top of the clinical note editor window) > select Configure Auto Correct.

Pinned Histories with Generated Letters

An update has been made to generating letters. When a user generates a letter containing medical history tags. If any of the medical history items are pinned, they are now displayed at the top of the medical history in the generated letter. To generate a letter select the EMR icon > click the Encounter Notes tab > right-click on a note and select > Generate Letter. To pin an item in History of Problems select the EMR icon > click the Encounter Notes tab > right-click on an entry in the History of Problems and select Pin Problem.

Referrals (Outstanding Requisitions, Referrals, and Orders)

Outstanding referrals has been completely updated; allowing providers to view patient referrals and to be able to track their status. Providers can see the patients they have referred, when that patient received an appointment, was seen by a physician, and then transferred back in to their care.

Outstanding Requisitions, Referrals and Orders on the Reports menu has replaced Reports > Requisition Forms > Outstanding Requisitions.

Users can either generate a letter and create the order (or referral) at the same time or they can create the order in the Outstanding Requisitions, Referrals and Orders window and then create the referral letter at a later time. If the letter is created later it can still be attached to the order that it relates to.

The Outstanding Requisitions, Referrals and Orders window displays a list of all requisitions, referrals and orders that are up to six months old. To display requisitions older than 6 months, the user will need to click the "Show requisitions older than 6 months" checkbox.

A patient can be searched for by typing their name into the Search field and text can be searched for by typing it into the Search field and clicking the Search button (button contains a green arrow and is to the right of the Search and Patient fields).

The default is to display all requisitions, referrals and orders although a user can filter by patient, provider, type and status, as required. The table can also be sorted by any of the headings. The headings displayed are:

At the bottom of the Outstanding Requisitions, Referrals and Orders window are a series of buttons. The functions of these buttons are described below:

Create a New Order from the Outstanding Requisitions, Referrals and Orders Window

  1. Click Reports and select Outstanding Requisitions, Referrals and Orders.
  2. Click the New Order button.
  3. Type in the patient name and select from the list displayed.
  4. Click and select the provider.
  5. Select the Type of Order
  6. Type in the Order (i.e. what is to be done).
  7. Click the Status and select Ordered.
  8. The order date defaults to today's date. To select an alternative date double-click in the date field and select from the calendar displayed.
  9. Click OK to save the order.

Create an Order from Generate Letter

  1. Click the EMR icon and select the Encounter Notes tab.
  2. Right-click on the appropriate item and select Generate Letter
  3. Make any changes required to the letter.
  4. Click Send Letter. The Letter/Fax Recipients window is displayed.
  5. Click the Referral Letter checkbox.
  6. Click the down-arrow and select New Referral Order, New Referral Task or select an existing order that is listed for the patient (these do not have any referral letters attached to them and were created in the Outstanding Requisitions, Referrals and Orders window). New Referral Task is the old method of processing referrals; New Referral Order creates an entry in the Outstanding Requisitions, Referrals and Orders window (whichever option a user selects is remembered for next time).

Delete an Order from the Outstanding Requisitions, Referrals and Orders Window

  1. Click Reports and select Outstanding Requisitions, Referrals and Orders..
  2. Select the order being deleted.
  3. Click the Delete Order button.
  4. A confirmation message is displayed, click Yes.

Note: Once an order is deleted an entry is added to the activity log. If required the order can be recovered using the right-click menu option.

Templates in Encounter Notes

An update has been made because it was found that with a very specific monitor setup that the templates in the clinical notes section were not displaying correctly. This was found to happen if a user had two monitors and the right monitor was set as the main monitor. An update has been made so that Accuro displays correctly on wither monitor. To access templates select the EMR icon > click the Encounter notes tab > click the down-arrow to the right of Clinical Notes.


Forms

Opening Templates in Encounter Notes

When users were opening templates in encounter notes using the open button, if there were two templates with the same name (in different sections), the first instance of the template would be opened no matter which one was selected. An update has been made so that the correct the template is opened. To access templates select the EMR icon > click the Encounter Notes tab > click the down-arrow in the Clinical Notes section.


Labs

SLRR Labs Received Order (SK)

SLRR labs are not necessarily received in the correct order, so an update has been made to use the transaction date/time instead of the date/time received. This ensures that all labs are processed in the correct order.


Other

Accuro Window Size and Location

An update has been made to Accuro so that when a user re-opens Accuro, the window size and location are checked and adjusted to ensure that none of it is off-screen.  This is to help users who move between computers with different screen sizes and layout to ensure that the entire Accuro window is always visible.

Company Logo

The company logo has been updated.


Patient Demographics

Deleting Patients

A new option "Delete Patient" has been added as a feature permission. The default is selected, allowing users to delete patients. If deselected then users are unable to delete patients either in patient demographics or through administrative delete. To access the Delete Patient option click users. select Manage Security > click the Feature Access tab > Delete Patient is available in both Role Permissions and User permissions (in the Patients section).


Performance

Archiving EMR

Clinics can now archive older EMR chart data. This feature helps larger clinics by improving the performance when loading components of a patient's record. A new option "Archive Patient" has been added to the Tools menu, the default is off (except for administrators). When Archive Patient is selected a window is displayed for the current global patient and the following categories are listed:

Selecting the checkboxes next to these items, defaults them to on (archive). The user also has the option of selecting items "Older than" or "Before" a certain date. If a user selects to archive items that are less than a year old, a warning message is displayed and the user needs to confirm the selected items are to be archived.

An option "Included Archived" has been added to the encounter notes (default being off) when selected the filter includes any archived items, when not selected archived items are not included in the filter.


Prescriptions

First Data Bank (FDB) Setup

After setup of FDB has been completed a message informing users that all instances of Accuro need to be restarted before FDB can be accessed fully is now displayed.


Reporting

Alerts (Query Builder)

An update has been made to the query builder that now allows the appointment provider to be displayed as a result. To access the query builder click Reports > select Alerts (Query Builder).

Standardization of Sites Field in Report Generation

Sites have been standardized across all the reports. "All" and "None" are available as options on all reports. Note that the Sites field is only seen by clients who have sites turned on i.e. they have more than one site. Reports can be accessed from anywhere in Accuro by pressing Ctrl+R.


Scheduling

Archived Appointment History in Quick Patient Appointments View

An update has been made to the Archived Appointment History; Users can now select multiple appointments using Ctrl + click or Shift + click. To access the Archived Appointment History press F4 (Quick Patient Appointments View) > click the Archived Appointment History tab.

Default Site Walk-in Patients

A new scheduler preference "Default Site Walk-in Patients" has been added. When a site is selected it will be the default site for walk-in patients. This preference selection only shows when show sites is enabled. To select a default site for walk-in patients click Scheduler > select Preferences > click the Priorities and Settings tab > click the down-arrow to the right of "Default Site walk-in Patients".


Virtual Chart

Virtual Chart Printer and Fax Buttons

Updates have been made to the virtual chart to improve consistency of the printer and fax buttons displayed. To access the virtual chart select the EMR icon > click the Virtual Chart tab.
