Release Notes For 2012.01

Accuro©EMR is the most recent version of Accuro available. The reason for no version number is because Optimed is going to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

Billing

Clinic Number in Office Configuration (SK)

When providers work out of multiple offices the billing clinic number can be defined against the clinic rather than the provider. When a valid Clinic Number is entered at the office level, it is to be used in place of the Physician's Configured Clinic Number when creating appointments or claims in the Office which has the valid Clinic Number. The Clinic Number will be used in the following instances:

  • Reports
  • Billing
  • Submissions
  • Appointment
  • Booking
  • Claim Creation
  • Billing Macros
  • All other times the Physician’s Clinic Number will be used.

    Facility Number (MB)

    When opening a bill in the claims area, Accuro checks to see if the facility number is in the provider’s configured facilities. If it isn’t then the facility number is added to the dropdown. To access Provider Management and add a Facility Code, press F2 > click the Configure button > click next to access The Billing Details section.

    New Right-Click Menu Options in Appointment History

    The following right-click menu options have been added in Appointment History:

  • Appointment
  • Confirmed
  • Generate Invoice (this option is greyed out when the insurer is not set to private)
  • No Charge
  • No Show
  • To access Appointment History press the F4 button > click the Appointment History tab.

    Office Specific Claims View

    In the Manage Security section, in the Offices TAB, there are office specific preferences to hide office specific appointments from other offices. When the “Hide Appointments Booked in this Office from Other Offices” preference is enabled, claims which were created in different offices from the Appointment History (F4), and the Claims sections, even if they are for a provider which the user has access to in the current office are not visible. This also includes cancelled appointments listed in the Appointment History window, Archived Appointments, Private Billing Payments, appointment history listing in Chart Prints and any reports which query on appointments or billing data (including query alerts and A/R by Insurer).

    Hide Outstanding Lab Requisitions Made in this Office from Other Offices

    In the Manage Security section, in the Offices TAB, there are office specific preferences to hide office specific requisitions from other offices.  “Hide Outstanding Lab Requisitions made in this office from other offices,” has been added. When selected other offices will not be able to view outstanding lab requisitions made by your office. The default for this preference is for it to be turned off. To select this feature click Users > select Manage Security > click the Offices tab > click the Preferences tab > the “Hide Outstanding Lab Requisitions made in this office from other offices” checkbox is located in the General section
    Note: This doesn’t affect the EMR section, just the Outstanding Lab Requisitions window.

    Office Specific Patient Notes

    In the patient section, users can record administrative notes. These notes are admin notes that are usually shared with all users of the database. An enhancement has now been made that enables patient notes to be hidden from other offices. When the “Hide Patient Notes from other Offices” preference is enabled patient notes which were created in the office cannot be accessed by other offices. This includes viewing the patient notes in both the Patient Section and the Virtual Chart.  Also notes are not included when Chart Prints are done, or in Attachments listed for Tasks, Messages or Generated Letters. To enable Hide Patient Notes from other Offices select Users > click Manage Security > select the Office tab down the left-hand side > click the Preferences tab.

    Appointments Visibility in Other Offices

    Appointments for a provider made in a different office can now be viewed or hidden depending upon your requirements. A new option “Hide Appointments Booked in this Office from Other Offices,” has been added. When enabled, other offices that view the schedule of a provider who's appointments are booked in an office that is enabled will not be able to open the appointment or see the patient name or appointment notes in the scheduler view. To enable Hide Appointments Booked in this Office from Other Offices select Users > click Manage Security > select the Office tab down the left-hand side > click the Preferences tab > the Hide Appointments Booked in this Office from Other Offices checkbox is located in the Scheduling section.

    Resubmit by Provider (SK)

    Users are now able to resubmit by provider after claims have been marked for resubmission, if there is more than one provider in the submission; a window is displayed prompting for the selection of which providers bills are to be resent. To mark a bill for resubmission right-click on the appropriate bill and select Options > click Resubmit. The Submit Claims button is located at the bottom of the Claims window.

    Show Overpayments Without Disposal Code (MB)

    On the Not Reconciled tab in Claims a checkbox has been added called Require Disposal Code, this is located below the Include Overpayments checkbox. When this checkbox is selected overpayments that do not have a disposal code will be displayed. To view overpayments without a disposal code select the Claims icon > click the Not Reconciled tab > press the Gear Icon button > select the Require Disposal Code checkbox.


    Documents

    Uploading Documents as Read/Unread

    Documents being marked as read have been made optional in some instances. This is because when uploading old charts into Accuro, clinics would like the option of these not being flagged as new. During the upload of a document into Accuro, if the user selects File Document,  the document is uploaded to the patient’s virtual chart as read. When a document is uploaded using the Send to Provider button the document remains unread and is sent to the provider for review. Documents can be uploaded by selecting the Documents icon on the Side bar.

    PDF Quality when Zooming in on a Document or Image

    An update has been made to improve the quality of PDFs when a user zooms into a document or image


    Encounter Notes

    Auto Capitalizing in Clinical Notes

    Users can now auto capitalize in clinical notes. There are two options available, “Auto Capitalize Sentences” and “Auto Capitalize Pasting.”

    1. Auto Capitalize Sentences: Capitalizes the first letter of new lines and new sentences. This is triggered when a user presses spacebar or Enter after typing a word.

    2. Auto Capitalize Pasting: Checks text when it is being pasted and finds all words at the beginning of a sentence and capitalizes them

    Both of these options are turned off by default. To enable click the EMR icon > select the Encounter Notes tab > select a new or existing note and open it > click Options at the top of the window > select “Auto Capitalize Sentences” and/or “Auto Capitalize Pasting,” as required.


    Labs

    Excelleris Labs (BC)

    Excelleris is phasing out their old Pathnet URLs and replacing them with Excelleris URLs. This will require no action on the part of our clients except that you will need to update your Accuro, after April 2012 the old Pathnet URLs will no longer function.

    Free Text Entry for Dose in INR Tracking

    When tracking INR dose changes a user can now enter non-numeric characters (e.g. 100 mg or 1 Tab) into the Daily Dose and Weekly Day dosage fields. INR Tracking can be accessed by selecting the EMR icon > click the Encounter Notes tab > click the INR button towards the bottom of the window.  Maximum of 10 characters per dose field.

    Lab Review Sub Folders

    A User Preference has been added that allows collapsing lab subfolders. This option is only for non-document labs. To enable collapsible lab inbox sub folders click File > select User Preferences > click display down the left-hand side > select the General tab > the “Collapse Lab Inbox Sub-folders” checkbox is located towards the bottom of the left hand column.

    Processing Lab Failures

    Once the lab file has been downloaded into the file queue, it was continuously processed until successful.  As a result if there was an error it was continuously processed until dealt with through a software update or someone manually marking it as processed. An update has been made so that after three attempts, Accuro no longer attempts to reprocess the again, unless there is a change to the lab processing for that lab vendor that may fix the issue.


    Medical History

    Print Copyable Medical History

    A Print button has been added to the Copyable Medical History. This is a time saving enhancement as the user no longer has to copy and paste the history into another package to print out. To access the Copyable Medical History select the EMR tab > click the Encounter Notes tab > click the Copyable Medical History button (looks like two sheets of paper) > the Print button is located at the bottom of the window displayed.

    Prioritizing Problems in History of Problems

    An update has been made that allows users to prioritize important diagnoses. Users can now “Pin” an important problem. When a problem has been pinned it is displayed at the top of the History of problems section. If more than one problem is pinned, then those pinned are displayed at the top in reverse chronological order. Once pinned, they will appear pinned to all users. To pin a problem select the EMR icon > click the Encounter Notes tab > The History of Problems section is located on the right-hand side of the window > right click on the item to be pinned at the top of the history of problems section and select Pin Problem. The item is now listed at the top of the window with a pin attached to draw attention to the important diagnosis.


    Other

    Feedback Questionnaires

    The feedback feature has been expanded to support questionnaires. These are available when the user selects a Feedback Type other than “General” from the list. An appropriate questionnaire is displayed with clickable answers. This enables clinics to give more information when submitting feedback to Optimed. This in turn will result in more efficient handling of any feedback reported. To access Accuro Feedback click Help > select Send Feedback > click the down-arrow to the right of Feedback Type to select an appropriate questionnaire.

    Note:More feedback types will be added over time.

    Letter Queue Minimize

    The Letter Queue window has been updated so that it can now be minimized, if required. A Refresh button has also been added to enable the queue to be reloaded without having to close and re-open the window. The letter queue can be accessed by clicking the Letter link at the bottom left of the Accuro window.


    Physician

    Editing Provider Letterheads and Footers

    The creating and editing of the provider letterheads footers has been greatly simplified with the new addition of a WYSIWY editor. The editor allows a user to edit the header and/or footer in the same way that a document is edited; there is no need for any HTML knowledge. Font styles, sizes, alignment, importing images, drawing lines, coloring text can all be customized in the same manner allowed by many word processing packages. The user can view the HTML code, if required, by clicking the HTML button (to hide the code click the HTML button again).

    To edit a letterhead press F2 to access Provider Management > select the provider > click the Configure button > click Next until step 3. Edit Headers > select the Provider Letterhead or Provider Footer and click the Edit button > edit the header and/or as required and click OK to save any changes.


    Prescriptions

    First Data Bank Prescription Interaction Severity Levels

    A new feature has been added to allow doctors to set a preference for what severity of interactions require management before being able to continue or print a prescription. To access this feature you need to be logged in as a doctor. There are 5 levels of drug to drug interactions that can be selected:

  • Contraindicated
  • Severe
  • Moderate
  • Undetermined
  • None
  • To set a preference level click Tools > select Preferred Management > click the Interaction Management Levels tab > click the down-arrow to the right of Drug to Drug Interactions to select > click Apply to save the selection.

    Note: This feature requires a subscription to the Accuro FDB Drug Interaction checking.


    Scheduling

    Remember Loaded Resources by Office

    A new system setting, “Remember Loaded Resources by Office” has been added. This setting is only visible for users with the Resource Scheduling module enabled.  The default is for this setting to be off, if enabled the resources are loaded based on office settings rather than user settings when a user switches offices. System Settings can be accessed by selecting Users > click Manage security > click the System Settings tab down the left-hand side.

    Note: This feature is only applicable to clinics with resource scheduling turned on, typically used in radiology clinics.

    Schedule Template Suggestions

    Template Schedule Preferences have been added as a tab to Scheduler Preferences window. On this tab the user can:

    1. Choose to view only suggestions specific to their clinic rather than all suggestions. This is done by selecting the “Limit Ad-Hoc Schedule Suggestions in Scheduler” checkbox. The default option for “Limit Ad-Hoc Schedule Suggestions in Scheduler,” is off.
    2. Select from the complete list of suggestions the ones used in the clinic.

    To access the Schedule Template suggestions tab > click Scheduler > select Preferences > click the Schedule Template Suggestions tab (click Update to save any changes).


    Security

    Active User, System Access and Same Last Name Access Reports (MB)

    Three new reports have been created and are available in Manage Security to users with system administrator access.

    Active User Report: generates a report grouped by clinic and then by username in alphabetical order. The information included in this report is username, role(s) in the clinic, last successful login (date and time).

    System Access Report: Generates a report of active and inactive user activity in the EMR between specified dates and times (that can be configured by a user with system administrator access). This lists users in Accuro at any given time. The report groups by clinic and by username in alphabetical order, role(s) in the clinic, and most recent activity in the timeframe specified.

    Same Last Name Access Report: generates a report grouped by clinic and then by username in alphabetical order. The information included in this report is username, role(s) in the clinic, Activity Name, Event Date time, patients first name, gender, date of birth, unique patient ID.  This report is to show patients accessed who have the same last name as a user.

    To access these new reports click Users > select Manage Security > select the Reports tab down the left-hand side.

    Prevent Users from Running Backups

    A new system setting has been added called Allow User Backups. The default is on allowing clinics to perform backups. When Allow user Backups is disabled then this menu option is not displayed.  To access System Settings select Users > click Manage security > click the System settings tab down the left-hand side.


    Waitlist

    Changing Procedure Description

    If a user tries to change a procedure description in the waitlist and there any other requests with that procedure, a warning message is now displayed saying "There are existing requests for this procedure.  They will be updated with the new description." The user then has the option to click OK and overwrite the existing requests or to cancel without making any changes. To access the Waitlist click the Waitlist icon on the side bar.
