Release Notes For 2011.11

Accuro©EMR (with no version number on the login screen) is the most recent version of Accuro available. The reason for no version number is because Optimed has moved to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

Billing

Adjust/Write Off in Appointment History

Adjust to Paid and Write Off have been added to the right-click menu option in Appointment History. Appointment History can be accessed by pressing F4 from anywhere in Accuro.

Bilateral Billing (ON)

An update has been made to support billing multiple quantities of one code. If a quantity greater than one is added to a bill then the percentage of the subsequent items is adjusted. The percentage amount after the first item is defined in Bilateral Billing. Bilateral Billing is accessed by selecting Billing > click Options > select Manage Bilateral Codes.

Billing Procedure Code with Suffix C (ON)

A system setting has been added to enable bills with a suffix of C to be automatically submitted under Group # 0000 to OHIP. To access the new system setting click Users > select Manage Security > click System Settings down the left-hand side > select the General tab >” Submit C Suffix Bills with Group # 0000” is located at the bottom of the window.

Different Locations Per Bill (SK)

An appointment’s location can now be overridden for a specific bill. When a user updates a bill’s location on a claim, they usually want to update the location for all bills on the claim. For this reason to change the location for an individual bill the user must unlink the bill from the appointment location. To unlink a bill and change the location select Claims > click the Daily Claims or Unsubmitted Claims tab > right-click on the appropriate bill > click the Link/Unlink button located to the right of the Location dropdown > the bill is now unlinked from the others and the location can be changed.

Note: Appointment sites are only enabled at clinics by request.

Edit Remarks, Billing (MB)

Edit Remarks is now available as a right-click menu option in Claims. Previously this was only available as a button in the Claim Details window. Access Edit Remarks by selecting the Claims icon > select the appropriate tab > right-click on a claim and select Options > select Edit Remarks.

Filter Remittance Notes By Pract ID (ON)

The remittances notes displayed when a user double-clicks on a payment period have been updated to filter provider or practitioner number. The notes displayed will also depend upon the permissions of the person viewing them i.e. they only see items for providers they have access to. To access the remittance notes select the Claims icon > double-click the appropriate Payment period at the bottom of the claim window.

Future Date Warning in Batch Billing

If a user enables Batch Billing and selects a date in the future a warning message will now be displayed to alert the user. Batch Billing can be accessed by selecting the Claims icon > select the Daily Claims tab > right-click and select New Bill > select batch Billing at the top of the Claim Details window.

Group Fee Codes by Site Report (ON)

A new report has been created Group Fee Codes by Site. This report allows the user to view the totals for fee code groups. Reports can be accessed from anywhere in Accuro by pressing Ctrl+R.

New Billing Period Adjustment Reports (MB)

Four new reports have been created:

New Menu Options Available in Appointment History (MB)

The right-click menu in Appointment History has been enhanced to include Generate. If selected Generate gives the user the options to: Claim Query, WCB General Billing or 529 Form Options. Appointment History can be viewed in the Appointment History window (F4) or at the bottom of the Claim Details window, to access select the Claims icon, select the appropriate claim tab > right-click on a claim and select Claim Details.

Q012 and Q016 Billing Codes (ON)

Billing codes Q012 and Q016 have been added to the list of billable procedure codes. These calculate at the correct premium percentage rate (30%). To access billing select the Claims icon > select the Daily Claims or Unsubmitted Claims tab.

Update Insurer in Claim Details

If a claim has multiple procedures and the user changes the insurer for one of the procedures, they are now prompted as to whether they want to change the insurer for all procedures on the claim. Claim Details can be accessed by selecting the Claims icon > select the Daily Claims or Unsubmitted claims tab > right-click on the appropriate claim and select Claim Details.


CDM Worksheet

CDM Worksheets

CDM Form Editor has been updated to allow users outside of Ontario to import form templates which are available by default only in Ontario. This enables users to an existing CDM form as a starting point for their own customized form. To edit CDM Forms select Tools > click Edit CDM Forms.


Documents

Documents

An update has been made so that a user tabs through the fields down the right-hand side of a document and the From field is selected, all the text is now highlighted. This enables the user to easily delete the existing information, if required by simply pressing delete on the keyboard. Documents are accessed by pressing the Documents icon on the left-hand side of Accuro.


EMR

Chronic Conditions Tab

When a medication is added to the Chronic Conditions tab, the new external medication is now automatically linked to the active problem. Chronic Conditions can be accessed by selecting the EMR icon > select the Chronic Conditions tab (if CDM is enabled at your clinic).


Encounter Notes

Copyable Medical History

Custom Medical History can now be copied, previously only the default system ones could be copied. Copyable Medical History can be accessed by selecting the EMR icon > click the Encounter Notes tab > the Copyable History button is located at the top-right of the window (button looks like two sheets of paper).


Export

Accuro Error

A new option “Export Log” has been added enabling a user to export and save a zip file containing the “MedAdmin Log.” This can then be emailed to Optimed to help diagnose issues upon request. The zip contains the same information as Submit Log and is for situations when network access is restricted so that Submit Log is not available.  To export a MedAdmin Log click Help > select “Export Log.”


External Communication

Update Messages

When Accuro is launched, messages are displayed notifying the user of the lists that need updating. This has been changed to happen after the user logs into Accuro, where the Update Lists window is now displayed. This displays all the appropriate lists (e.g. Accuro Medication List) and their current status. The update of lists can now be controlled as a Feature Permission. The user has the option to select specific lists and click “Update selected” or to click the “Hide Window” button and update the lists later.


Forms

Delete New Components in Form Editor

The Form Editor has been updated so that new components added to a form can be removed without the form having to be saved first. The Form Editor can be accessed by clicking Tools > select Form Editor.

Forms Formulas

Users can now use the Form Editor to create formulas featuring demographic constraints, references to other form fields and the ability to create algebraic expressions. The value created by the formula can be stored as a lab result and used for trending and graphing, as required.

To enter a formula and save as a Lab Value, follow the procedure below:

  1. Click Tools on the Menu Bar and select Form Editor from the list displayed.
  2. Click the Create a New Form button (piece of paper with an *).
  3. Add the components required to the form.
  4. To add the Formula to the form double-click Components in the Components section of the lilac side bar and drag FormulaField onto your form.
  5. Right-click on the FormulaField you have just added and select Edit. The Component Editor dialog is displayed.
  6. In the Name field type in the formula name,
  7. In the Description field, type in a description of the formula (e.g. eGFR calculation).
  8. In the Tag field, type in a tag to be assigned to the formula, if required.
  9. In the Constraints section, click the Add button.
  10. Type in your formula in the Edit Formula field below. You will see the formula you are typing is also appearing in the Formula field of the spreadsheet above.
  11. Click to select any Demographic Constraints, as required.
  12. If the formula result should be saved as a lab, follow steps 13 – 17, otherwise go to step 18.
  13. Click to select the Save as Lab Value checkbox.
  14. Click the Edit button to the right of the Save as Lab Value checkbox.
  15. Click the down-arrow to select the Lab Test.
  16. Click the down-arrow to select the Lab Result.
  17. Click OK.
  18. Check to ensure all the formula details and constraints are correct. Click OK.
  19. Make any remaining changes to the form you are creating and click the Save button.

Patient Demographics

Alternative Patient ID (BC, SK, MB, ON)

There is now a “Manage” option in the Assigning Auth. dropdown in the Patients section to allow for adding an Alternative Patient ID. Patient demographics are accessed by selecting the Patients icon.

Patient Global Message, Patient Demographics

A timestamp and username is now displayed below the global, user and role patient messages showing when the message was last updated. The timestamp is displayed below the messages in the Patient Section and also in the message popup. Global Messages can be created in the Patient Tasks (F7) window or in the Patient Section.

Search by Patient ID & Alternative ID

Users now have the option to enable a search to include Patient ID and Alternative ID numbers. This is a checkbox that needs to be enabled in User Preferences. To enable this option select File > click User Preferences > click Search on the left-hand side > The “Search Patient ID & Alternative ID” checkbox is at the top of the Search Display window.


Prescriptions

Prescriptions (ON)

The CPSO number can now be printed on prescriptions. There is also an option to turn this off, if required. To add a provider’s CPSO number press F2 to access Provider Management > click the Provider Demographics tab > The CPSO Number field is located towards the bottom of provider demographics. To stop a CPSO Number being displayed on a prescription click Configuration > select Configure Accuro > click Next > click Provider Wizard and Next > select the provider and click Next 3 times > select Header listed under the Provider Prescription Ribbon > click the Edit button > the Amend CPSO to Prescriptions is at the bottom of the dialog. 

Note: Configuration is not accessible to all users; permission is required to access this area of Accuro.


Printing

Printing Attachments in Messages or Tasks

When attachments are printed from Tasks or Messages the Print Summary is logged in Accuro. Messages and Tasks can be accessed by selecting the Home icon > click the Messages or Tasks folder, as required.


Reporting

Alerts (Query Builder)

The alerts (Query Builder) tool in Accuro has been updated to include the ability to search for incomplete tasks. When performing an Action on the search results where tasks are included, the user is asked if they want to mark all the tasks as complete e.g. "There were 40 tasks included in the query results, would you like to mark them all as complete?" To access Alerts (Query Builder) click Reports > select Alerts (Query Builder) > to select Outstanding Tasks select the Category of Messaging.

Alerts (Query Builder) for Billing

Alerts (Query Builder) has been expanded for billing to include a query by dates and amounts (using NOT, AND or OR functions, as required). The Alerts (Query Builder) can be accessed by clicking Reports > select Alerts (Query Builder).

Appointment Site Reports

The following reports have been updated to allow the user to select the appointment site: Billed and Paid, Billing Summary, Outstanding Invoices, Private Payment Summary, Submissions, 60-90-120 Day A/R, Accounts Receivable, Total Billed by Fee/Service Code, Write Offs and also Insurer Remittance Summary (MB only).  Reports can be accessed from anywhere in Accuro by pressing Ctrl+R.

Billing Period Reports (MB)

Billing Period reports have been separated into their own section in the Reports window. Their descriptions have also been updated to provide the user with more relevant information. Reports can be accessed from anywhere in Accuro by pressing Ctrl+R.

Period Fee Revenue Summary Report (MB)

The Period Fee Revenue Summary report has been updated to display a provider’s full name. Reports can be accessed by pressing Ctrl+R from anywhere in Accuro.

Remittance Totals Report (MB)

The Remittance Totals Report can now be groups by Provider and Appointment Site, as well as the previously available option to group by just Provider. Reports can be accessed by pressing Ctrl+R from anywhere in Accuro.

Tasks Report

The Task report has been updated to filter by office for clinical groups with multiple offices who have the Office Preference to only show office specific Tasks enabled. Task report can be accessed pressing Ctrl+R from anywhere in Accuro.


Scheduling

Appointment History, Arrived Tracking

Selecting an appointment in the Quick Patient Appointments View displays the appointment event history including when the patient confirmed and arrived. When the status of an appointment changes this is logged. If a patient’s arrived status is removed then the user is given the option of either removing this from the history or recording that the patient left in the history. The Appointment History will only include details of when patient confirmed and arrived after this software update was installed. Details from before this update was installed were not logged. Quick Patient appointments View can be accessed by pressing F4.

Automated Chart Sheet Printing

A new tool has been added to automatically print chart sheets. When started this feature prints chart sheets that have not already been printed. The user can set a refresh time after which Accuro rechecks to see if there are any more new charts that need to be printed out. Each chart for an appointment slot will print only once. The Automated Chart Sheet Printing can be accessed by clicking Tools > select Automated Chart Sheet printing.

Other Providers in Appointment Details

The Other Providers feature has been updated and simplified. Users can now add other providers by name rather than having to have the providers assigned to care groups. This makes adding providers much easier and quicker for the user. To access the Other Providers field select the Scheduler icon > double-click to select an existing appointment or press Enter to create a new appointment > Other Providers is in the left-hand column of the Appointment Details window.

Set Note

The Set Note in Scheduler has been updated to automatically update the appointment slot if a note is added, edited or removed. To set a note select the Scheduler > right-click on the appropriate message > select Set Note.

Site Column in Appointment History

A site column has been added to the Appointment History table. This column will only be displayed if the “Show Site” system setting is enabled. To select the Show Site setting click Users > select Manage Security > click the System Settings tab down the left-hand side> select the Show Site checkbox. The Appointment History table can be viewed at the bottom of the Claim Details window, to access select the Claims icon, select the appropriate claim tab > right-click on a claim and select Claim Details.


Updater

User Controlled Update

Accuro users now have the option to be able to choose when their site installs Accuro updates. Two options are available:

The purpose of allowing a clinic to lock to a specific release of Accuro is to allow users to perform updates (especially large ones) at a time more convenient to their site.

The Update Version options are accessed by selecting Help > click About Accuro > click the Version tab

To lock to the current release of the software: Click the Lock to Current Release button. The software is now locked at the release displayed on the tab.

To unlock and allow software updates again: Click the Unlock Version Control button. The updater is now unlocked and updates can now be picked up and installed.

Note: The User Controlled Option is only available to administrators.


Virtual Chart

Multiple Icons in the Virtual Chart

The Virtual Chart has been updated allow for multiple icons to be displayed. Previously, for example, if a lab displayed a red exclamation mark (indicating an abnormal result) this was preventing the print/fax icon from being seen. The Virtual Chart can be accessed by selecting the EMR icon > click the Virtual Chart tab.


Performance

A/R by Insurer Report

The A/R by Insurer Report has been enhanced to improve loading time for larger clinics. Reports can be accessed by pressing Ctrl+R from anywhere in Accuro.

Form Tags in the Template Wizard

Where a site has a lot of forms the loading of form tags have been updated to make them load more quickly. Form Tags are on the right-click menu in the Template Wizard. The Template Wizard can be accessed by selecting Tool > select Template Wizard.

System Configurable Refresh Rates

For clinics that are looking for a boost in performance, particularly for clinics that have over 10 users:

There is an administrative setting to configure the refresh rate for counting of the number of user Labs, Tasks, Messages, and Faxes etc. The default for the system setting is 30 seconds for local and 60 seconds for web.

The “User Count Refresh Rate (Local)” and “User Count Refresh Rate (Web) are located on a new Performance tab located in System settings. The “Show lab Counts” and “Max patients per Query” settings have also been moved to the Performance tab.

The new Performance tab can be accessed by selecting Users > manage security > select System Settings (down the left-hand side) > click the Performance tab.

Documents

Repeatedly scrolling through the thumbnails in Documents was causing high memory usage. This has been made more efficient. Documents can be accessed by selecting the Documents icon.


Fixed Issues

Chronic Conditions

If a patient has no chronic condition selected and the user clicks the Add Lab button, the message displayed indicated that a patient needed to be selected. This has been corrected to say that a chronic condition needs to be selected. Chronic Conditions can be accessed by clicking the EMR icon > select the Chronic Conditions tab.

Closing a New Form, Form Editor

The Form Editor has been updated so that a form can be closed using the “X” button in the corner of the window. The Form Editor can be accessed by clicking Tools > select Form Editor.

Note View Window

The Note View buttons have updated so that they all align along the bottom of the window. The Note View window is displayed when the user selects Patients > click the notes tab > double click to open an existing note.

Billing Macro Name

Billing Macros have been updated so that a macro cannot be saved unless it has a name. To create a Billing Macro select the Claims icon > right click on any claim > select Apply Macro > click the add button to display the Create Macro dialog.

Encounter Notes Chart Synchronization

When two users with different permissions were working in a patient’s chart at the same time, this was causing some synchronization and display issues. This was a temporary issue that has been fixed. To access Encounter Notes select the EMR icon > click the Encounter Notes tab.

Lock Patient Chart, Encounter Notes

The Lock Patient Chart feature has been updated, if lock chart is selected and then the user cancels on the Selected Users dialog the chart returns to its unlocked status. Previously the chart was unlocked but appeared locked until the user changed patients and returned. Encounter Notes can be accessed by clicking EMR > select the Encounter Notes tab > the Lock Chart button is located towards the top of the window.

Tags in Templates

The tags BILL2PROCEDUREDESCRIPTION and BILL2PROCEDURECODE or any other bill number greater than 1 were not working correctly in letter templates. A software update has been made to correct this issue. Letter templates can be found by selecting EMR > click the Encounter Notes tab > select the down-arrow in the Clinical Notes section.

Forms (Cloudwerx Citrix Users)

Cloudwerx Citrix users had an issue with being unable to save form components. Form components are now being saved in the user folder instead of the Accuro folder to solve this issue.

Medinet Labs (BC)

Accuro has been updated to improve the loading of new Medinet files in the file queue, processing of files from the file queue and to improve error handling detection.

Unreviewed Labs Message, Home

Accuro has been updated so that when a user selects multiple labs and clicks the Unreview Selected button only one message saying , “Labs have been Unreviewed,” is displayed rather than one message for each lab that has been unreviewed. To unreview labs select Home > Select the Labs folder > select the appropriate Provider > select the Review History button > select the labs being unreviewed > click the Unreview Selected button.

Exiting Accuro (Mac Users Only)

Users can now exit Accuro by Selecting the File menu option (in Accuro) and selecting Quit; selecting the OSX Program Menu and selecting Quit; Right-clicking on the Accuro logo in the Doc menu and selecting Quit or pressing Command+Q. All of these methods will now retain the user preferences.

Home

If a user returns to the Home section after changing the selected patient, any labs, messages or documents open for the previously selected patient will no longer be displayed. This will remove any confusion over having items open for a patient that is no longer currently selected. Home is accessed by selecting the Home icon.

Alerts (Query Builder)

If the Patients Records Only option was selected in the Manage Rules section the instances field had no effect. This has now been fixed. To access Alerts (Query Builder) click Reports > select Alerts (Query Builder).
