Release Notes For 2011.10

Accuro©EMR (with no version number on the login screen) is the most recent version of Accuro available. The reason for no version number is because Optimed has moved to a more regular release schedule to avoid large annual releases. Optimed is now offering 6-week updates to all customers. This means that roughly every 6 weeks we will provide a release in the form of “Update Accuro” which you can run at your convenience. Note that once you update one of your computers, all of your computers will need the update run.

The release notes below are dated. When you apply the update, you will receive all changes since your last update. To find the last date you updated, login to Accuro and click Help > About > Details.

Labs

SPIRE Labs (ON)

Accuro can now accept SPIRE Labs and transcribed reports: LAB, RAD and MDOC. These are received via a username and password across a SFTP connection, the files are downloaded and removed from the physician’s office folder.

Unread Labs & Documents

Labs and Documents which are received but have not yet been viewed will appear bolded in the Inbox and will have NEW in the Reviewed column of the Virtual Chart until the Lab or Document is read.

Print button for INR Tracking Sheet

A Print button has been added to the INR tracking sheet. INR tracking can be accessed by clicking EMR > select the Encounter Notes tab > Click the INR button located to the right of the Labs.

Lab Summary Configuration

Lab summary has been updated to allow the user to multi-select new lab results. Lab Summary can be accessed by clicking EMR > select Encounter Notes tab > select Manage Lab Summaries.


Medical History

Immunization Types

Immunization Types have been updated to be an editable dropdown list. This list can be easily updated when new vaccines need to be added. Immunizations can be found in the Medical History by clicking EMR > click the Encounter Notes > the patient’s Medical History is located on the right-hand side of the window.

Edit Immunization without Medication Selected

Opening a previously applied vaccine without a medication will no longer warn the user to select a medication.

Immunization Medication DIN

The DIN (Drug Identification Number) for the selected drug will now be displayed when recording an Immunization.

Problem Description

A new field “Description” has been added to the Problem History. This allows the user to add an alternative description of the problem in addition to the full diagnostic code name. This new field can be found by clicking EMR > click the Encounter Notes tab > click the Add button in the History of problems section (lilac ribbon on the right-hand side) > select the Diagnostic Search and click Select or Select and New > the Description field is displayed on the right-hand side of the Diagnosis Link window.

Printing History of Medical History

The log of an individual Patient Medical History can now be printed. The history is accessed by using the button that looks like a clock with a green arrow when editing a Patient Medical History item.


Virtual Chart

Abnormal Labs Indicator

Abnormal lab results will now show a warning in the indicator column of the Virtual Chart.

Multiple Document Recipients

Multiple Document Recipients is when multiple providers are selected in the documents section.

When a document is assigned to multiple providers, it will now only show as one line in the Virtual Chart. Previously there would be one line for each Provider. The Review History can be accessed by clicking EMR > Select the Virtual Chart tab > Right-Click and Select Review History.


Billing

Accounts Receivable Report (SK)

The Accounts Receivable report has been enhanced to allow the users to select a specific submission rather than submission date. Claims from failed submissions are no longer displayed. Reports can be accessed by pressing Ctrl+R from anywhere in Accuro.

Lock Submitted/Invoiced Bills With No Response

A new permission has been added “Lock Submitted/Invoiced Bills With No Response.” When selected this option prevents users from changing health service codes or providers after a bill has been invoiced or submitted. If a user tries to edit a submitted/invoiced bill they are prompted for a username and password. The default setting for this option is off. To access the “Lock Submitted/Invoiced Bills With No Response” setting, click Users > select Manage Security > select Offices down the left-hand side > click the Preferences tab > Lock Submitted/Invoiced Bills With No Response is located in the Billing section.

OMA Suggested Fees (ON)

Support has been added for alternative fee schedules.  This is for non-government bills where clinics will charge different fees to third party insurers or a specific insurer who has a fee schedule they to use. The suggested fees have to be added and configured. Suggested Feeds can be accessed by clicking Billing > select Options > click Manage Third Party Procedures.

Remittance Payments with Prefix 0 (MB)

Remittance matching has been updated to include matching for tariff codes that have a prefix of 0.

Batch Billing Date

Batch Billing has been updated, instead of using the current date as the default when opening via the Billing menu the user can now select a date. Batch Billing is accessed by clicking Billing > select New Bill > click Batch Billing at the top-left of the Claim Details window > select Batch Billing.

Delete Bills After Submission/Invoicing

A new permission “Delete Bills after Submission/Invoicing” has been added to Feature Permissions. The default is to have this permission on, if this permission is turned off then the user is prevented from deleting bills after they been invoiced or submitted. To access the Delete Bills After Submission/Invoicing permission click Users > select Manage Security > Click Feature Access down the left-hand side > click the Role Permissions tab > select the Billing role > scroll to the bottom of the Claims section.

Reversing Manual Remittance Matching (MB, ON)

Accuro has been updated to allow users to reverse manual remittance matching. This feature has been added to allow a user to undo mistaken matches. To access this feature click Claims > select the Remittances tab > right-click on the appropriate remittance and select “Undo Manual Matching.”

Unarchive Patient Appointments

The Unarchive option has now been added to the Quick Patient Appointments View window (F4) on the Archived Appointment History tab and in the Scheduler window as a right-click menu option.

Underpayments in Not Reconciled (MB)

The Show Overpayments and Show Refusals checkboxes have been moved, Click the cog-wheel icon to the left of Show All Remittances to access these checkboxes. A new checkbox has been added in the same place, “Show Underpayments without Disposal Code.” The Show Underpayments without Disposal Code checkbox displays remittances that are underpayments where the government did not provide a reason for the underpayment. The Not Reconciled tab can be accessed by selecting Claims > click the Not Reconciled tab.

WCB Premium Codes (SK)

Accuro has been updated to support percentage based premiums for after-hours billing.  The percentages are now calculated so the user no longer has to do this manually. The codes supported are:

897A: After Hours Services 37.5% 899A: After Hours Premium 75% 891A: After Hours Clinic Premium 10%


Documents

Document Review Button

Access to the Review button has been updated it no longer based on the user being a physician; it is now based on whether they have the permissions to be able to review documents. Documents are accessed by clicking Home > select the Documents folder.

Document Thumbnails

Document thumbnails have been updated to help Accuro Web users. Accuro Web has a set memory limit and large folders with many thumbnails use up the available memory. Accuro has been updated to load only the thumbnails that are visible and clear those that go out of view when scrolling therefore keeping the memory usage as low as possible.


Encounter Notes

Insert Medical History into Encounter Notes

Users now have the ability to insert Medical History items added during a visit with the patient as text into an Encounter Note. This can be done using a new Medical History macro for the date of service.  Set up is in the Template Wizard.

Note: All Medical History macros are now useable from within clinical notes and letters.

Encounter Notes can be accessed by clicking EMR > select the Encounter Notes tab. Template Wizard which can be accessed by clicking Tools > select Template Wizard.

Add Risk Factors from Clinical Notes

Risk Factors can be added while editing a Clinical Note using the New… link in the Medical History shown under the Clinical Note.

Bullet and Number Lists

Numerous improvements have been made to how Bullet and Number lists work in Clinical Notes. Accuro will maintain formatting, react to editing much more intuitivly and Accuro should no longer add random bullets to empty lines when opening a Clinical Note which was previously saved and contained a bullet list.

Encounter Note Template Selection

Encounter Notes column widths have been adjusted to make viewing the Encounter Notes easier.


Other

Update Provider Demographics (MB)

The Update Provider Demographics has been updated to allow the user to:

1. Update Existing Providers and Add New Providers

2. Add New Providers

Option 1 runs the update as it has always worked. Option 2 only imports new providers and does not update any of the existing providers.

Context Sensitive Help

The User Guide has been linked into Accuro to give better access to context sensitive help. The User Guide can be accessed from anywhere in Accuro by pressing Ctrl+F1 or Ctrl+F10.

Pharmacy Location ID in Address Book

A field called Location ID has been added to the Address Book for pharmacies. The Location ID for the pharmacy should be stored in this field. To access click Tools > select Address Book > click the Pharmacy tab.

Patient Alerts and Special Needs

Patient Alerts and Special Needs will be included as part of the Entire Chart Print from the Virtual Chart. Patient Alerts & Special Needs are added in the Patient Tasks window (F7) by Right-Clicking in the task list and then clicking New Patient Alert.


Scheduling

Multiple Providers in Appointment Details

In the Appointment Details window the Other Providers field has been added. This allows the user to enter mulitple providers as referring, or add a full Care Team. Care Teams can be managed by clicking the Manage option at the bottom of the Other Providers list. The purpose of this feature is to be able to record additional providers who are involved with the care of the patient (for a specific appointment) so they are auto-populated as CC'd when generating a letter for that appointment (referral or consult letters).


Patient Demographics

Maximum Search Results

A system setting  for Maximum Patient Search Results has been added to Accuro, the range available is 10 to 9999, and the default value is 100. If more results are obtained when a search is performed then the following message is displayed, “More than <MAX> results found. Click here to see all results.” The Maximum Patient Search Results setting can be accessed by clicking Users > select Manage Security > System Settings down the left-hand side > click the General tab > scroll to the bottom of the list for the Max Patients per Query.

Relation Types

In the Relations section of Demographics Accuro has been updated to allow the user to select more than one Type e.g. Next of Kin and Emergency Contact. This is done by holding down the Ctrl button and clicking all Types that are applicable. Relation Types can be found by clicking Patients > click the Relationships tab > go to the Relations section.


Reporting

Billing Reports

The Total Billed by Fee Code’s description has been updated to describe how the percentage numbers are calculated.

MSP Notes Report (SK)

The MSP Notes report has been updated, the report is now spilt by Payee number to enable the user to more easily find the information they are looking for.

Accuro Usage Summary Report

A new Accuro Usage Summary report is now available. This report provides statistics showing how much a provider is using different parts of Accuro and also provides a breakdown of their patient population by age and gender. The Accuro Usage Summary report is in the Clinical section of the reports list and can be accessed from anywhere in Accuro by pressing Ctrl+R.


Prescriptions

ICD10 and Snomed Indicator Search (ON)

The indicator search in the Add Prescription window has been updated to search on ICD10 and Snomed. This prescription indicator can be found by clicking EMR > click the Encounter Notes tab > click the Add button in the Acute Medications section (lilac ribbon on the right-hand side) > Click the Add button in the Indications section of the Add Prescription window.

Prescription Status (ON)

The prescription status lifecycle has been updated to New, Active, Suspended, Aborted, Completed, Obsolete and Nullified. Prescriptions can be accessed by clicking EMR > select the Medications tab.

Prescriptions

Accuro has been updated to support partial dates in the Written Fate field on a prescription. This field is found on the Instructions tab in the Manage Prescriptions window.

Prescriptions

Accuro has been updated so when Save and New is selected in the Prescription window, the search selection for the previous medication is removed to clearly reflect that the user has to select a medication for the new prescription.  Attempting to save the new prescription will also now warn the user if they have not selected a medication. Prescriptions can be accessed by clicking EMR > click the Medications tab.

Duplicate Therapies, Prescriptions (First Data Bank Subscribers Only)

Accuro has been updated to check for duplicate therapies as per IDDF documentation. This means that when a drug is prescribed for a patient, Accuro checks items that have already been prescribed to ensure that patients are not potentially being prescribed duplicate medications. This works by comparing the ingredients of a newly added drug to the active ingredients of drugs in your patient's profile, and then checking the new drug against a specialized Duplicate Therapy Class. If Accuro detects a conflict then a warning message is displayed. Prescriptions can be found by selecting EMR > click the Medications tab.
